Responsibilities
Club Leader Responsibilities
Act as the designated safeguarding lead (DSL).
Ensure all staff and volunteers are trained in safeguarding procedures.
Oversee the implementation and regular review of this policy.
Act on safeguarding concerns and make referrals to relevant agencies when necessary.
Staff and Volunteer Responsibilities
Maintain a professional, caring, and respectful attitude toward all children.
Follow safeguarding procedures and report concerns to the DSL immediately.
Avoid situations where they are left alone with a child unless absolutely necessary.
Parent and Guardian Responsibilities
Ensure children are dropped off and picked up on time.
Inform the club of any medical or specific needs that could affect a child’s participation.
Support the club in maintaining a safe environment.
Code of Conduct
For Staff and Volunteers
Never use inappropriate language or behavior.
Avoid physical contact unless necessary for safety or instruction.
Report all safeguarding concerns promptly.
For Children
Treat others with kindness and respect.
Follow instructions from staff and volunteers.
Report anything that makes them feel uncomfortable.
Safeguarding Procedures
Recruitment and Training
All staff and volunteers must undergo background checks (e.g., DBS in the UK) before working with children.
Mandatory safeguarding training for all staff and volunteers.
Managing Disclosures
If a child discloses abuse, listen calmly without judgment.
Do not promise confidentiality—explain the need to share information to keep them safe.
Report the disclosure to the DSL immediately.
Reporting Concerns
Concerns must be documented and reported to the DSL as soon as possible.
The DSL will assess the situation and, if needed, refer the case to local safeguarding authorities.
Health and Safety
Ensure the venue is safe, with hazards identified and mitigated.
Provide appropriate supervision during activities.
Have an up-to-date first aid kit and trained first aider on-site.
Photography and Media
Obtain parental consent before taking or sharing photos of children.
Ensure images are used respectfully and securely.
Confidentiality and Record Keeping
All safeguarding concerns and actions will be documented securely.
Records will only be shared on a need-to-know basis, adhering to data protection laws.
